OCR + checks on every upload

The messy pile goes in. A clean, checked ledger comes out.

It starts with OCR that reads the hard cases — handwriting, faxes, phone photos of crumpled receipts. Drop in a single file or a whole folder; multi-document PDFs are split into separate records. Then every batch is checked for duplicates, missing months and totals that don't add up, before anything reaches your books.

No card required. Files held in private encrypted storage.

Three steps, and none of them is data entry

01

Upload one file or a folder

Your own quarter or a client's whole shoebox — mixed PDFs, phone photos and scans in one go. Multi-document PDFs are split into separate records automatically.

02

Read the flags first

Duplicates, missing periods and fields that couldn't be found are sorted for you. You start from what's wrong, not what's there.

03

Approve and send it on

Export clean CSV for your existing workflow, or push a reviewed bill straight to QuickBooks or Xero.

Provenance

Click the number, see the page it came from

Nothing is a black box. Every extracted value keeps a pointer to its document, its page and the exact spot it was read from. "Where did this figure come from?" is one click, not an afternoon in a folder.

Needs attention

Folder checks

The folder gets checked before you look at it

Every upload batch is grouped by type and supplier, paired against near-identical copies, and scanned for period gaps and per-document problems — totals that don't sum, fields that aren't there. The report is deterministic: the same folder gives the same answer twice.

Pipeline

One queue, from inbox to approved

Documents move through Inbox, To review and Ready — badged with what's waiting on a person, so nothing sits unnoticed. Keep one workspace for your business, or a separate one per client, with owner and member roles and approval workflows for what needs a second pair of eyes.

Sheets

A spreadsheet built in, for the analysis afterwards

Open a Sheet whenever you want to work with numbers. Pull in your reviewed extractions, run a report out of the built-in ledger, drop in a financial statement from QuickBooks or Xero, or upload any Excel or CSV — then sort, add columns, and ask the built-in AI Assistant to write a formula or answer a question about the rows. Download the tab as CSV or the whole book as Excel when you're done.

Accounting

A full ledger, without leaving the app

A full double-entry accounting module is built in — chart of accounts, journals, AP/AR, VAT, financial statements. Reviewed invoices and receipts post as bills against the right expense account in one click. Prefer to keep the books elsewhere? Forward the same batch to QuickBooks or Xero instead — DocuBite's duplicate guard travels with it.

Docu Library

Ask a question, get the document that answers it

Every uploaded file is searchable by what's actually inside it — meaning and keywords both. Ask the Docu Library a plain question and it answers from your own documents, with each answer cited back to the filename and page, one click from the source.

The same three moments, done two ways

Where the work actually gets hard — and where an afternoon turns into a click.

The moment

200 mixed files land on you at quarter-end

By hand

Sort by type yourself, eyeball for duplicates, and hope nothing's missing until reconciliation says otherwise.

With DocuBite

Grouped by type and supplier, duplicates paired, missing periods named — before you open a single file.

The moment

An error is sitting in the data

By hand

You meet it at month-end, in a reconciliation that won't balance, weeks after it was typed.

With DocuBite

Checks catch it in review — line items that don't sum, a missing VAT number — while it's still one document, not a journal.

The moment

Someone asks where a number came from

By hand

Find the file, find the page, read the invoice, explain the arithmetic. Repeat per question.

With DocuBite

Click the value. The source opens at the right page, highlighted at the line it was read from, with an audit record of who touched it.

The questions we get asked

What can it actually read?+

Invoices, receipts, bank statements, and any custom PDF or image you define a template for. Handwritten notes and low-quality scans are expected input. Files up to 50 MB, multi-page documents included — and where one PDF holds several documents, it gets split.

Where do my files live?+

In private, encrypted storage with keys managed for you. Browsers never connect to storage directly — every view is authorised and streamed through the application. Sources and reviewed data are retained for the life of the workspace, and deleting the workspace deletes them.

Can my team review together?+

Yes. Each workspace has owner and member roles with email invitations, a shared review queue badged with what's outstanding, and approval workflows for the documents that need a second signature. Every change is recorded against the person who made it.

Can I get my data out?+

Reviewed data streams out as CSV whenever you want it, columns and all. Reviewed invoices and receipts can also be pushed to QuickBooks or Xero as bills. Nothing here is a one-way door.

Start with one messy folder

Upload the worst one you have. If the report doesn't tell you something you didn't know, you've lost ten minutes.

No card required.
